Cancellations and refunds

Any changes or cancellations in connection with registration fees, student’s room accommodations, excursions and social events must be sent in writing to the ECAART-11 Office.

For registrations, the paid fees will be refunded as follows:

  • Within 7 July 2013: 60% of the paid amount will be refunded. Please note: 40% of the paid fee will be invoiced as penalty charge.
  • From 8 July to 8 August 2013: 30% of the paid amount will be refunded. Please note: 70% of the paid fee will be withheld as penalty charge.

No refund will be made for cancellations received after 8 August 2013.

For student’s room accommodations, only the paid amounts will be refunded as follows:

  • Within 21 June 2013: only € 25,00 will be withheld for administrative expenses.
  • From 21 June to 7 July 2013: two nights’ accommodation (€ 70,00) will be withheld as penalty charge.
  • From 8 July to 21 August 2013: 30% of the paid amount will be refunded. Please note: 70% of the paid fee will be withheld as penalty charge.
  • From 22 August 2013: no refund will be made for cancellations or last minute changes.

All approved refunds will be processed and issued after the conference.

For hotel accommodations other than student’s room, no refund will be done by ECAART Office as the local organizing committee do not deal with hotel reservations.
